Gmail

This guide will walk you through the steps to integrate your Gmail account with Solyo for seamless data interaction and automation.

Prerequisites

  • A registered Solyo account
  • An active Gmail account
  • Proper permissions to access, read, and send emails via Gmail

Gmail Integration

Step 1: Access the Integration Settings

  1. Log into Solyo.

  2. In the top-right corner, navigate to Your Integrations from the dashboard.

  3. Select Email from the top tab to view available email integration options.

    • Gmail is available for immediate integration.
    • Other options like Outlook and Yahoo are coming soon.

Step 2: Start a New Gmail Integration

  1. Click on Gmail under the Emails section.
  2. You will be prompted to enter your Gmail account details:
    • Add an Account Name for easy identification.
    • Enter your Email Address.
    • Click on Create Integration.

Step 3: Grant Solyo Permissions

After entering your email details, you will be asked to provide necessary permissions:

  • Access my emails: Authorizes Solyo to connect to your Gmail account.
  • Read my emails: Allows Solyo to fetch and read your Gmail messages.
  • Send emails: Grants Solyo permission to send emails on your behalf.
  • Privacy Policy: Ensure you have read and agree to Solyo's Privacy Policy before proceeding.

Once the permissions are granted, click Save Changes or Create Integration.

Step 4: Finalize the Integration

After authorization, Solyo will mark the Gmail integration as Active. You can manage your integration settings from the Integrations page, where you can:

  • Enable or disable access to your emails.
  • Update the read and send permissions.
  • Delete the integration if needed.

Gmail Collector

Step 1: Access the Collector Interface

  1. Log into Solyo.
  2. Navigate to Your Collectors via the dashboard.
  3. Click Create New to begin setting up a new Gmail Collector.

Step 2: Select the Gmail Integration

  1. In the Gmail Collector panel, select the appropriate Gmail integration from the dropdown list of your connected accounts.

Step 3: Define Collector Details

  1. Name: Provide a meaningful name for the collector (e.g., Work Emails, School Updates, Project X Correspondence).
  2. From: Specify an email address or domain to filter emails from specific senders (e.g., @schooldomain.com, @workplace.com, teacher@example.com).
  3. Start Date and End Date: Define the date range for the emails you want to sync. If left blank, Solyo will sync all available emails from the selected sender.
  4. Mode: Choose how often the emails will be synced (e.g., Continuously, Once, or Custom Interval).
  5. Visibility: Choose whether this collector is for personal use (Private) or shared with a team (Public).

Step 4: Add Context with Tags and Folders

Adding tags and folders creates contextual metadata for the synced emails, which enhances future interactions in Solyo. These fields do not modify the original emails but enable Solyo to organize and retrieve data more effectively.

Tags

  • Assign relevant tags that reflect the context of the emails being synced. For example:
    • For school-related emails, you might use tags like School, Grades, Homework, or the names of people involved (e.g., Axel, Evan).
  • Tags help narrow down searches later when interacting with your data in Solyo.

Folders

  • Assign relevant folders to your emails based on their context (e.g., School, Documentation, Legal, Project X).
  • Folders allow for better categorization, making it easier to manage and retrieve information when needed.
My tip

Folders and Tags are very important for optimal performance

Step 5: Finalize and Start the Collector

  1. After specifying the collector details and adding context, click Save to store your collector settings.

  2. Once ready, click Start to initiate the syncing process.

Solyo will now sync the specified emails, attaching the context (tags and folders) for more efficient access and interactions.

Step 6: Managing Collectors

  • Your active collectors will be visible in the Your Collectors dashboard.
  • You can edit, pause, or delete any collector by selecting the relevant option next to each active collector.

Benefits of Using Collectors

Automate Actions with Gmail

Once your collectors are up and running, you can now use Solyo to:

  • Chat with your Gmail data to extract useful insights.
  • Automate reports based on emails or received data.
  • Schedule actions like sending automated responses, generating reports, and more.

Troubleshooting Tips

  • If the integration status remains inactive, ensure that you have granted all necessary permissions in the Gmail prompt.
  • Verify that Solyo has access to your Gmail account by reviewing the permissions on your Google account’s security settings.

This documentation outlines the importance of integrating Gmail with Solyo and setting up collectors to refine email syncing through contextual tags and folders, with automation options highlighted after collectors are operational.
